AI for construction and building companies

Construction and building companies run on documents: tenders, variations, site diaries, safety forms and subcontractor paperwork. AI can draft and check a lot of it, so project managers and site supervisors spend more time building.

The problem

Paperwork that slows the build

Builders and contractors typically run Procore, Buildxact, Aconex or Simpro alongside Xero, with a lot of the real coordination happening in email and phone calls. Each project generates RFIs, variations, site diary entries, SWMS, inductions and progress claims.

Project managers and contract administrators end up as full time document handlers. On smaller builders, the director is doing it at night.

Your stack

Construction platforms we work with

Procore or Aconex

RFI and correspondence summaries, document control checks.

Buildxact

Estimate and quote drafts from plans and scope notes.

Simpro

Job, materials and timesheet summaries for smaller contractors.

Xero

Progress claim and cash flow summaries.

SafetyCulture

Inspection findings turned into action lists.

Checklist

A project admin checklist for AI

Over time

Fewer surprises at the end of the job

Disputes in construction often trace back to missing records: a variation not documented, a delay not noted in the diary, an instruction given verbally on site. Better daily records protect builders. When site diaries, RFIs and variations are captured consistently, project managers can see claims building early and contract administrators have the evidence they need. Cash flow improves when progress claims go out on time with supporting documents attached. Directors get a weekly picture across all projects without calling every supervisor. Subcontractors notice it too, because clearer RFIs mean fewer return visits. Safety paperwork follows the same logic: SWMS reviews, toolbox talk records and induction registers kept current without the site manager retyping them every Monday.

First steps

Where a builder can start

01

Daily site diary

Supervisors speak a two minute voice note and get a structured diary entry back.

02

Tender summary

Scope, inclusions, exclusions and key dates pulled from tender documents into one page.

03

Subcontractor register

Insurance and licence expiry dates tracked with reminders drafted before anything lapses.

Guardrails

Safety and contract risk stay with people

Safety and contractual decisions carry legal weight. AI never signs off a SWMS, issues a formal notice or approves a variation. We keep those with qualified people and use AI to prepare, check and remind.

People first

Contract administrators, supervisors and estimators

Contract administrators move from document handling to managing risk. Supervisors spend less time on paperwork after a long day on site. Estimators get faster first reads of large tenders. We plan training around site realities: short sessions, phones not laptops, and examples from your own projects.

Illustrative example, not a client story

Example scenario: a tender with 300 pages of drawings and specs

Imagine a mid sized builder in South East Queensland pricing a childcare centre with 300 pages of drawings and specifications. In this example, an agent reads the tender documents and produces a scope summary, a list of ambiguities to raise as RFIs and a checklist of trades to price.

The estimator still prices the job. They just start with a map of the documents rather than a stack of PDFs. This scenario is illustrative and is not a client project.

Questions

Common questions about AI for construction and building

Does this suit small builders?

Yes. Smaller builders often have the most to gain because the director carries the admin.

Can AI read drawings?

It can read text, schedules and many annotations in drawings, and summarise them. It does not replace an estimator's review of the plans.

Will site crews use it?

We keep it simple on site: voice notes and photos from a phone. The structure happens in the office.

How is this different from trades?

Construction work is longer projects with heavier documentation. Trade businesses usually need speed across many small jobs.

Can AI help with defects and handover?

It can turn defect walk notes and photos into a list by trade, track close out and assemble the handover pack for review.
